GDPR Policy (UK GDPR)

Last updated: 5 January 2026

We believe privacy is part of wellbeing. This GDPR Policy explains how we comply with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, and how we protect the rights and freedoms of individuals whose personal data we process.

1) Scope and Responsibility

This policy applies to all personal data processed by Her Evolution Ltd across our website, ecommerce platform, CRM, email and community channels, and to any third parties processing data on our behalf. The Data Controller is Her Evolution Ltd. You can contact us at mandi.herevolution@gmail.com.

2) Our Data Protection Principles

We uphold the seven UK GDPR principles:

  1. Lawfulness, fairness, transparency – we process data on a valid legal basis and explain what we do in clear language.

  2. Purpose limitation – we only use data for the purposes we collected it for.

  3. Data minimisation – we collect only what is necessary.

  4. Accuracy – we keep data accurate and up to date.

  5. Storage limitation – we retain data only as long as needed.

  6. Integrity and confidentiality – we protect data with appropriate security.

  7. Accountability – we can demonstrate compliance.

3) Lawful Bases We Rely On

Depending on the activity, we process personal data under one or more of these bases:

  • Consent – e.g., email marketing subscriptions. You can withdraw consent anytime.

  • Contract – to create your account, fulfil orders, provide customer support.

  • Legal obligation – tax, accounting, fraud prevention, and regulatory duties.

  • Legitimate interests – to improve our services, website analytics, prevent abuse, and tailor non-intrusive product recommendations. We balance our interests against your rights.

4) Categories of Personal Data

We may process:

  • Identity & Contact (name, email, phone, addresses).

  • Account & Transaction (orders, payments, delivery details, support history).

  • Technical & Usage (IP address, device/browser data, logs, cookie IDs, page interactions).

  • Preferences & Communications (marketing choices, survey responses).

We do not intentionally collect special category data (e.g., health data) via our general site. If a future service needs such data, we will ask for explicit consent and apply enhanced safeguards. We do not knowingly collect children’s data.

5) How We Collect Data

  • Directly from you when you create an account, place orders, contact support, or enter surveys.

  • Automatically via cookies/SDKs and analytics when you browse our site.

  • From processors/partners for payments, delivery, security, and analytics.

See our Privacy Notice and Cookie Policy for practical details on data types and cookies.

6) Your Rights (Data Subject Rights)

You have the right to:

  • Access your personal data.

  • Rectify inaccurate data.

  • Erase data (where applicable).

  • Restrict processing in certain cases.

  • Object to processing (including legitimate interests and direct marketing).

  • Data portability for data you provided to us.

  • Withdraw consent at any time.

To exercise your rights, email mandi.herevolution@gmail.com. We respond within one month (extendable by two months for complex requests). We may request ID to keep accounts secure.

7) International Transfers

Where we or our processors transfer personal data outside the UK, we ensure an adequate level of protection using UK adequacy regulations or approved safeguards (e.g., the UK International Data Transfer Agreement or Addendum). Details are available on request.

8) Security Measures

We use a layered security approach including encryption in transit, access controls, least-privilege principles, secure development practices, regular monitoring, and vendor due diligence. If a personal data breach occurs that risks your rights and freedoms, we will notify the ICO and affected individuals as required.

9) Retention

We retain personal data only as long as needed for the purpose collected, to meet legal/accounting requirements, or to resolve disputes. When no longer required, data is securely deleted or anonymised. Summary retention schedules are available on request.

10) Processors and Sharing

We engage trusted data processors (e.g., payment providers, couriers, IT/analytics vendors) under written contracts that require GDPR-compliant safeguards. We may share data with law enforcement or regulators where legally required. We do not sell personal data.

11) Legitimate Interests Assessments (LIAs)

Where we rely on legitimate interests, we conduct and document LIAs to ensure our interests do not override your rights. You can object at any time by contacting us.

12) Children’s Data

Our services are designed for adults. If we learn that a child’s data has been collected without appropriate consent, we will delete it.

13) Complaints and Contact

If you have concerns, contact mandi.herevolution@gmail.com. You also have the right to lodge a complaint with the ICO (Information Commissioner’s Office) at ico.org.uk or by calling 0303 123 1113. We’d appreciate the chance to resolve concerns first.

14) Updates to This Policy

We may update this policy to reflect changes in law or our practices. Significant updates will be posted on our site and, where appropriate, emailed to you.
